Out of Office (OOO) functionality

Our Out of Office (OOO) feature lets recruiters take a break—without worrying that candidates are awaiting a reply. Simply set your OOO details, accessible via your Vivian profile, and an away message will automatically be sent in response to any incoming candidate communication. Messages will only be sent once per chat, per OOO period.

Why don’t I see the new Out of Office tools?

To access the Out of Office messaging tool, select the drop-down in the top right corner next to your profile image and select profile.

You may be prompted to edit if you have missing profile information before accessing your profile tools. You can cancel or input the information and after saving or exiting, you will see your profile tools, including the Out of Office messaging. 

Does Out of Office impact my response metrics?

No, Out of Office does not affect your response rate and response time metrics. For example, the “response rate clock” will still run when you’re out of office. 

Will Out of Office automatically route leads to other recruiters while I’m away?

No. You should inform your administrator when you’ll be out of office so they can update their lead routing preferences.

Will the Out of Office tool alter my job postings?

No. The Out of Office tool only provides a message to candidates during the duration of your Out of Office dates. We recommend coordinating with your Admin on the best approach for managing your Vivian job postings while you’re out.

As an administrator can I disable Out of Office for my recruiters?

You cannot disable the Out of Office feature for recruiters. We recommend communicating expectations about the feature’s usage among your team.

Can I edit my away message?

You can edit your start and end dates, but we do not allow you to create a custom OOO message.

Is this feature available on the mobile app?

Yes, you can your OOO dates on the mobile app.

Are there any types of conversations where an Out of Office message will not be triggered?

Currently, the only time a candidate will not receive an Out of Office message is when they are transferred to a recruiter who is currently out of the office.
