For customers who opt in to any of our VMS projects, including Fast Track, Verified Jobs, Submission Ready Profiles, etc., you can now securely manager your VMS credentials through our Credential Management Tool.
Adding Credentials

Log in to your account on Vivian.

Once you’re logged in, visit https://www.vivian.com/recruiter/secrets-manager by copying and pasting this link to your browser. Feel free to add this address to your Bookmarks.

Select “Add credentials record”.

From the drop down, select “VMS” under Integration Type and then select your VMS provider.

Add the Username and Password for the VMS.
- For the privacy and safety of your account, please create a Vivian-specific user in the VMS.
*Passwords are stored behind encryption and are not available to Vivian users.

Click “Submit” when you are finished. You should see a confirmation that the credentials were stored successfully and the VMS should now appear in the list of Integration Partner Credentials.

If you need to edit existing permission, simply click on “Edit” beside the appropriate VMS entry, make the necessary changes, and then Submit.

Credentials are stored at the Recruiter/Agency level. You will not be able to update credentials for a VMS that you did not originally enter.
*If you need to update existing credentials but you don’t have access to do so, simply add new credentials and contact your CSM to delete the previous credentials.
Adding VMS data to Jobs
In order to associate VMS data to your job postings, we need the VMS job/order ID that’s associated with the job in your ATS. For some ATS systems such as LaborEdge, CTM, or JobRobotix, we get this information by default so there are no additional steps you would need to take
For other ATS's, such as Bullhorn, Salesforce/Target Recruit, you can now map where Vivian should read the information needed in order to associate the VMS data to your job postings. For custom integrations, you may need to add this information to your job feed.
For ATS's with a standard integration:
- You may need to share the field names for where the VMS Name and VMS job/order ID is stored
*The field may be called something different in each system but this is an example of what to look for:-
We need to know what the fields are called in the system. This may or may not be the same as the field labels that appear in the UI.
- Your HRIS or ATS Administrator should be able to help you find the underlying field names

- Once we know what the fields are called, we will update the integration on our side to pull the new data
For Custom Integrations:
- If you use an XML or JSON feed, a CSV file, web scrape, or other custom process to post jobs to Vivian, you will need to ensure the VMS name and VMS job/order ID is available in the data
- The fields can be labeled anything in the source of the data, you’ll just need to let us know what it is.
- Once the fields have been added to the data, we will update the integration on our side to pull the new data
