Sometimes, candidates apply to a job for which they’re not actually qualified. This may simply be due to an error on their part, or because they didn’t look closely enough at the job description. Whatever the reason, these applicants will not count against your Vivian credit allowance if your team takes the appropriate steps to request a reimbursement.
To request a credit reimbursement for an unqualified inbound application, the candidate must fall into one of the following four categories:
- They are ineligible to work in the United States.
- They are unlicensed.
- Candidate is unqualified for the job being applied to.
- Must tell recruiter reason for unqualification (Eg: Candidate not licensed in US, or state where job is located, Candidate is not a Healthcare Worker).
- They have been previously blacklisted by your agency.
To proceed with a reimbursement request, the following steps must be taken:
- Reply to the candidate with a brief message explicitly stating why they’re unqualified for the job and that you’ll be ending the conversation. For example: Hi [candidate name]. It looks like your license has actually expired. I’m going to end the conversation.
- Go to the Quick actions dropdown menu at the top of a conversation and click on End conversation.
- Select Candidate is unqualified > Next.
- Select the reason that the candidate is unqualified, tick the box Request reimbursement consideration and block candidate, then click on End conversation. Doing so will block you from that candidate for 30 days.
Pro tip: There are many other reasons why candidates might not be the right fit for the job to which they’ve applied, but these are not grounds for reimbursement. In cases like these (candidate doesn’t like the geographic location, pay expectations are too high, etc.), steer the candidate to another role or save them for later—when the right role comes along.
