If you have the Fast Track feature, you will have access to the submission page, which will display a log of all submissions executed on Vivian and their corresponding statuses.
Who can see the submission page:
- Recruiters who have submitted on Vivian will see the submission page, but ONLY with submissions they execute.
- Admins will see all submissions for their agency.
- Account Managers (AMs) will see all submissions for their agency.
Submission Statuses
You will see submission statuses in the “submission status” column of the submission page.
The statuses will fall into 3 categories:
1 - Pre-submission statuses
- These statuses appear before the submission is executed when the submission date is NA.
- Status Definitions
- All ”Fast Track” flows:
- Submitted to VMS: Waiting for status - The candidate is submitting and we’re pulling the status from the VMS
- Submission failed: Credentials not found
- AM submission flow:
- Awaiting VMS submission - Waiting for the AM to complete the submission
- Declined by AM: Awaiting recruiter edits - The AM declined the submission and is waiting for the recruiter to make edits before submitting
- All ”Fast Track” flows:
2 - VMS submission statuses
- These are pulled directly from the VMS.
- This status will show where the candidate is in the process or the result of their submission review.
- If you’re unsure about the meaning of a status, please contact your team’s Account Manager, and go to “learn more” for more details on statuses.
Status Definitions
Note: This is a list of primary statuses, but others may exist that aren’t covered here:
- Rejected: Pre-MSP Pass: The candidate was rejected by the RightSourcing program manager before reaching the hiring manager. You may want to see if your AM can connect with the program manager at RS to better understand what occurred.
- Pending: The submission is awaiting review details.
- Not Assigned: The candidate wasn’t selected.
- Withdrawn: The candidate decided to pull their submission to the job, or they submitted with another agency, so their submission was pulled.
- Assigned: The candidate has been selected for the role.
- Reject: Not Available: The rejection reason couldn’t be provided.
- Reject: Req Closed/Filled: The candidate wasn’t assigned because the role was already filled.
- Reject: Not Qualified: Candidate didn’t meet the qualification requirements.
- Reject: Inadequate Information: Not enough information was provided to determine whether the candidate was qualified for the role.
- Reject: Duplicate: The candidate was submitted more than once by an agency for this role.
- Reject: Lack of experience: Candidate didn’t meet the experience requirements.
- Reject: Communication Skills:
- Reject: Stronger Candidate: Candidate may have met the requirements, but another candidate was a better fit.
- Reject: Unresponsive: Candidate was rejected for not responding to the relevant follow-up.
- Reject: Rate issue: There was a disagreement about the rate, and one or both parties didn’t want to move forward.
3 - Job statuses
- This status shows the current state of the role. This is helpful as it provides context for the VMS status result.
- Pending = Role is awaiting approval to be posted by the facility
- Cancelled = Role was removed
- On Hold = Hiring for the role is paused
